Tracking expenses

Log receipts as you go and get a running P&L without spreadsheets.

What gets tracked

Anything you buy for a job or for the business — materials, fuel, tools, subscriptions. Vontra suggests categories based on your history so you don't re-type them.

How to add one

Expenses → New expense. Fill in supplier, amount, category, date. Attach a photo of the receipt if you have one.

What you get for tracking them

  • Finance page shows a running profit & loss — revenue from paid invoices minus expenses
  • Tax breakdown if you're VAT/sales-tax registered, so you know how much to hand over each period
  • Per-job P&L if you tag the expense to a specific quote
  • Insights → Top supplier by spend ranks who you spend the most with, drawn from both expenses and line-item costs

Tips

  • Photograph receipts the same day — by next week you'll have lost half of them.
  • Round trips (driving to a supplier) — log those as an expense at 45p/mile to reduce your tax bill.
