Who we are

Vontra is operated by Vontra Systems Limited, a company registered in England and Wales. When we say "we", "us", or "our" in this policy, we mean Vontra Systems Limited.

What we collect

When you create an account, we collect your name, email address, and business details (business name, address, phone number). When you create quotes and invoices, we store the job details, customer information, and line items you enter. We also store your uploaded logo as part of your business profile.

How we use your data

We use your data to provide the Vontra service — creating quotes, invoices, and your business webpage. We use your email to send you account-related communications. We do not sell your data to third parties. We do not use your data for advertising.

AI processing

When you upload a receipt or screenshot for AI scanning, the image is sent to Anthropic's API for processing. The image is used solely to extract item data and is not stored by Anthropic after processing. No personal data is included in AI requests.

Payment processing

Subscription payments are processed by Stripe. We do not store your card details. Stripe's privacy policy applies to payment processing.

Data storage

Your data is stored on Supabase servers in the EU. We use industry-standard encryption for data in transit (TLS) and at rest. We retain your data for as long as your account is active. You can request deletion of your account and all associated data at any time by emailing hello@vontra.app.

Cookies

We use essential cookies to keep you logged in. We do not use tracking cookies or third-party analytics cookies.

Your rights

Under applicable data protection laws (including GDPR where it applies to you), you have the right to access, correct, or delete your personal data. You can also request a copy of your data in a portable format. To exercise these rights, email hello@vontra.app.

Terms of service

The service

Vontra is a quoting and invoicing tool for small businesses, operated by Vontra Systems Limited. By using Vontra, you agree to these terms.

Your account

You must provide accurate information when creating an account. You are responsible for keeping your login credentials secure. You must be at least 18 years old to use Vontra.

Subscription and billing

All prices are flat — no VAT is added at checkout. Vontra has two plans: Solo at £34 per month or £340 per year (one user), and Teams at £59 per month or £590 per year (three users included). Additional operational users on Teams are charged at +£14 per month or +£129 per year each. Both plans include unlimited quotes and invoices. Payments are processed by Stripe. You can cancel at any time — your access continues until the end of your current billing period.

Free trial

New users receive 10 free quotes with no card required. After using your free quotes, you will need to subscribe to continue creating quotes.

Refunds

If you are not satisfied with Vontra, you can request a full refund within 30 days of any payment. Refunds are processed by our payment provider and typically take 3–5 working days to appear in your account. To request a refund, email hello@vontra.app.

Your data

You own your data. We do not claim any rights to the quotes, invoices, or business information you create in Vontra. You can export or delete your data at any time.

Acceptable use

You agree to use Vontra for legitimate business purposes only. You must not use the service for fraudulent activity, or attempt to circumvent the quote limits or referral system.

Referral programme

You may refer up to 3 people to Vontra. For each active referral, you receive 99p off your monthly subscription. Referrals are subject to a 30-day pending period. Creating fake accounts to claim referral credits is prohibited and may result in account suspension.

Limitation of liability

Vontra is provided "as is". While we strive to keep the service reliable and accurate, we cannot guarantee uninterrupted access. We are not liable for any losses arising from your use of the service, including errors in quotes or invoices you create.

Changes to terms

We may update these terms from time to time. We will notify you by email of any material changes. Continued use of Vontra after changes constitutes acceptance.
