Receiving and managing enquiries

How leads land in your inbox, what you can do with them, and how to turn one into a quote in one click.

Where leads come from

Every Vontra account has a public enquiry link — share it on social bios, on a leaflet, in a text or email. When a customer fills it in, the enquiry lands instantly in your Enquiries page (in the left nav) and a notification appears in the bell at the top.

You can find your link on the Enquiries page, right-hand rail. Tap Copy enquiry link or scan the QR code straight off your screen.

What lands on each enquiry

  • Customer name, email, phone, full address (when given)
  • A free-text message describing the job
  • Optional answers to your custom questions (set those up under Settings)
  • "When would you like to start" and "Where did you find us" — both optional
  • "Best time to call you" — captured by default so you know when to ring

Acting on an enquiry

Each enquiry row gives you four moves:

  • Reply — opens a pre-filled email to the customer
  • Add to-do — drops a follow-up task on your to-do list with the customer's name and best-time-to-call prefilled
  • Convert to quote — pre-fills the quote builder with everything the customer just told you (name, address, phone, "where they found you", preferred start date), so you can start pricing in seconds
  • Archive — gets it out of the inbox without deleting the record

Notifications

By default you'll get an email every time a new enquiry comes in. Turn it off via Enquiries → Settings cog → Email me when a new enquiry comes in. The in-app bell notification fires regardless.
